Facilitating strategic sourcing of ERP applications

Situation

The client is a leading manufacturer in India in the segment of manufacturing flat-rolled products including sheets, circles, foils, strips of copper, and copper alloys like brass, phosphorus, and bronze. PwC was engaged to help with the strategic sourcing of their ERP application requirements.

The client was using a home-grown enterprise resource planning (ERP) system for more than a decade. Although this ERP was serving the purpose sufficiently, it did not support process standardisation in the team. The company was also apprehensive about using a standard ERP as it may not serve all the complex workflows in the organisation.

The solution

PwC’s community of solvers brought in a team with experience in processes that need enabling by ERP and product selections. The team conducted workshops to understand the business concerns and expectations from ERP. They also provided an outside-in perspective to ensure that the ERP product was future ready.

  • Created the holistic product evaluation criteria encompassing technical and functional capabilities, demo scores and total cost of ownership (TCO)
  • Facilitated the Request for Intimation (RFI) and Request for Proposal (RFP) process. Iteratively shortlisted ERP products for RFP with the top three vendors. Enabled client to manage pre-bid queries with the ERP vendors and facilitated onsite working demos of the client’s critical use cases to select the best-fit ERP
  • Facilitated the identification, presentation, proposal submission, evaluation and technical negotiation for the client. We then helped the client with the plan for transitioning to the new ERP

Results

The client benefited through improved productivity and efficiency:

  • Secured a lateral comparison of the capabilities of the top ERP products in the market
  • Optimised core business processes as per the industry’s leading practices and ERPs
  • Obtained a clear understanding of out-of-the-box capabilities provided by the ERP products and quantitative analysis of the level of customisation relevant to the business
  • The client received a detailed framework for the evaluation of future requirements
  • Got a breakdown of the costs involved in the next three years along with the option to transparently select relevant functionalities for further negotiation
